Resolved by the Commission of the City of Battle Creek:

 

The City Manager is authorized to execute contract #2018-084C with Access Interactive, LLC, for new data center and 193 replacement computers in an estimated amount of $506,543.51, with unit prices prevailing, which will be paid from the following accounts:

671.10.9150.931.110: $176,000.00
671.10.9150.973.010: $230,543.51
409.14.4390.972.020:  $100,000.00

BUDGETARY CONSIDERATIONS

HISTORY, BACKGROUND and  DISCUSSION
The City requires an upgrade to its data center, and also has a plan to replace 193 computers. Interim Information Technology Director Sarah VanWormer’s attached memo provides more detail.

The City has the opportunity to purchase this data center and the computers through G2G, a cooperative headed by Oakland County, who bids out technology on behalf of other government agencies.  These contracts were competitively bid through this organization.

The City’s Administrative Code allows for purchases outside of the City’s bidding process if it is in our best interest to do so, but it requires City Commission approval if over $50,000.  It is in our best interest to contract with Access Interactive, LLC., because these prices were competitively bid through Oakland County.
